About the Role

The job objective for the Project Coordinator performs a wide variety of duties, some of a confidential nature, including administrative and clerical functions. Directly supports the Estimating team during all phases of Estimate start-up, bidding progress and estimate close-out. This is not intended to be an all-encompassing document and may not include everything that is required of this position based on the needs of TEAM Construction.

Moreover, Project Coordinators key responsibilities are as follows:

  • Responsible for document management utilizing company software

  • Preparation of correspondence and transmittals

  • Preparation of Subcontract packages including processing and distribution of all exhibits, drawing logs, bond information, insurance requirements, preliminary information, and billing requirements.  Follow through of tasks, including second request letters for all outstanding Subcontract deliverables/compliance items.

  • Preparation of Purchase Orders and Purchase Agreements.

  • Preparation of Meeting Minutes inclusive of distribution to project team.

  • Set up file folders (labels and tabs) as required by project demands.

  • Filing for all projects as necessary.

  • Confirm Subcontractor participation throughout the bid process.

  • Schedule, attend and participate in Pre-bid Conferences and Site Walks.

  • Scheduling and participating in Descope meetings. Follow through of tasks, including revised proposals, compliance items.

  • Coordinate requests for bid bonds when required.

  • Manage all plan and RFP document printing.

  • Collect, track, and inventory subcontractor bid proposals.

  • Assist estimators throughout bid process with document control including receiving and processing RFIs, pre-bid addendums, pre-bid drawing revisions, bid supplemental information, project schedules and RFI responses.

  • Maintenance of Subcontractor data base utilizing company software.

  • Aid estimators with bid close-outs including tracking of documents and data input for historical database.

  • Microsoft Office

  • Planswift Takeoff – Introductory Levels

  • Microsoft Excel / Company Estimate - Excel Templates – Introductory Levels

  • Microsoft Project – Introductory Levels
