About the Role

The job objective for the Project Admin role performs a wide variety of duties, some of a confidential nature, including administrative and clerical functions. This role will require that an individual be involved in multiple projects and will need to take direction from multiple Project Managers. Communication with Project Manager(s) is critical to ensure tasks are prioritized and completed within required time frames. Directly supports the Project Manager and Project Engineer during all phases of start-up, job progress and project close-out. This is not intended to be an all-encompassing document and may not include everything that is required of this position based on the needs of TEAM Construction.

Moreover, Project Admin’s key responsibilities will be as follows:

  • Assisting ownership/estimating team with initial project Pre-Qualification

  • Administrative preparation of correspondence and transmittals

  • Assist Estimating Department and Executives with preparation of Project Presentations.

  • Preparation of Subcontract packages including processing and distribution of all exhibits, bond information, insurance requirements and preliminary information.

  • Follow through of tasks, including second request letters for all outstanding Subcontract deliverables/compliance items and maintenance of all applicable logs.

  • Administrative preparation of Purchase Orders and Purchase Agreements.

  • Administrative preparation of all Warranties inclusive of preparation of sample warranty, publication of warranty/close-out material cover letter and transmission to all affected Subcontractors.

  • Preparation of Close-Out Packages inclusive of warranties, operations & maintenance manuals and all applicable as-built drawings.

  • Preparation of Job Directories and distribution to Project Team

  • Preparation of Internal Operations Meeting Minutes inclusive of distribution to project team.

  • Set up file folders (labels and tabs) as required by project demands

  • Filing for all projects as necessary

  • Responsible for Contract reviews, inclusive of Prime and Subcontract Agreements, utilizing the standardized contract mark-ups available.

  • Monitoring of Sub-Contractor Certificates of Insurance including verifying accuracy, tracking renewal dates, uploading to Project Management Software, etc.

  • Additional tasks as required by current company needs
